About the Service:
The Accommodation Supervisor has an important responsibility in ensuring seamless deliver and high-quality accommodation planning and operational delivery for OBS/ OCS/ OIS stakeholders relocating to the Host City, Co-Host Cities, Madrid, or other global locations during the Olympic Games. This service requires a proactive and diligent individual who thrives in high-pressure environments, possesses exceptional organisational skills, and excels at fostering collaboration across diverse teams and stakeholders.
As a Supervisor of the accommodation group, this person ensures end-to-end accommodation operations, providing guidance, operational coordination and execution of tasks, and hands-on problem-solving to meet the needs of stakeholders are carried out exceptionally well and per OBS guidelines.
Duties & Responsibilities
Oversight and Operational Planning:
- Ensuring the comprehensive Accommodation Operational Plan is effectively delivered, ensuring alignment with OBS objectives;
- Anticipate challenges, devise mitigation strategies, and maintain flexibility to adapt to evolving requirements;
Supervision and Team Coordination:
- Guide and mentor the accommodation team, ensuring accountability, effective communication, and timely execution of tasks;
- Act as the primary point of contact for accommodation providers, Organising Committees (OCOGs), and other key stakeholders;
Stakeholder-Focused Planning and Operations Delivery:
- Ensure a smooth and efficient check-in and check-out process for stakeholders;
- Resolve operational issues in real-time, maintaining a positive and professional experience for all involved;
Room Allocation and Compliance:
- Oversee room allocation plans, ensuring adherence to contractual agreements regarding room types and quantities;
- Proactively address discrepancies, collaborating with providers to implement corrective actions swiftly;
Database and Reporting delivery:
- Ensuring accuracy and up-to-date records of inventory, rooming lists, and financial data on the GRPS data tracking system;
- Provide detailed and regular reports on accommodation status, ensuring transparency and accountability to OBS management;
Quality Assurance and Continuous Improvement:
- Conduct regular quality control checks, leveraging surveys and feedback mechanisms to maintain high service standards;
- Identify opportunities for improvement, implementing innovative solutions to enhance efficiency and stakeholder satisfaction;
Financial and Contractual overseeing:
- Oversee all financial aspects of the accommodation plan, including budget tracking, invoicing, and expense reporting;
- Ensure compliance with contractual obligations, conducting regular reconciliations and performance evaluations;
Post-Operational Analysis:
- Preparation of comprehensive post-event reports, including financial reconciliations, performance assessments, and recommendations for future improvements.
Skills, Requirements & Qualifications
- Relevant or suitable tertiary qualification or certificate;
- Proven experience in accommodation supervision, event planning, or a similar operational role, preferably in high-pressure environments;
- English speaking skills, Italian language is an asset;
- Driving license B, ability to move to the Host City for the operational period.
- Strong ownership and delivery of projects and communication skills, with the ability to motivate and coordinate cross-functional teams;
- Exceptional problem-solving capabilities, with a proactive approach to identifying and resolving issues;
- Proficiency in database management, reporting tools, and financial tracking systems; ability to learn new systems quickly; Tech Savviness is advantageous
- Attention to detail, coupled with the ability to manage multiple priorities and tight deadlines;
- Cultural sensitivity and the ability to work collaboratively with international teams and stakeholders;

About Olympic Broadcasting Services
Olympic Broadcasting Services (OBS) produces the live television, radio and digital coverage of the Olympic and Paralympic Games. Our coverage is neutral, favouring no particular country or athlete, and includes sports competitions as well as the Opening and Closing Ceremonies.
The International Olympic Committee established OBS to serve as the permanent host broadcaster for the Games, eliminating the need to continually rebuild the broadcast operation for each edition, and as a result create a more efficient, streamlined operation.
