Transport Coordinator

About the role:
Transport Coordinator is responsible for the monitoring and fulfilment of the Bus operations transportation specifically and the communication of this between Broadcast Logistics Managers and liaising with the Organising Committee to ensure all OBS and OCS personnel are able to have access to public transport, providing transportation solutions in various locations of the Games working closely with fleets and Games Time Transport Systems, etc. The Transport Coordinator may oversee and be responsible for closely monitoring the Direct and Dedicated Service operations (50+ routes) and/or supporting the Fleet team with their requests. In addition to that, Transport Coordinator is responsible for the arrival and departure transport services for OBS and OCS personnel.
Duties & Responsibilities:
- Oversee the OCOG’s transportation systems, related to Media (Transport Connect, Direct and Dedicated Service, etc).
- Liaising with various Broadcast Logistics Managers to gather daily working availabilities and ensuring all staff are transported to and from safely and as best as possible from Point A to Point B.
- Manual data inputting and modifications on excel spreadsheets for scheduling and coordination of the bus transportations timing and routes.
- Live tracking and updating of the Bus systems and liaising with the Committee such errors/changes and updates for quick resolution.
- Coordinating with Motorpool and allocate vehicles for arrivals and departures of staff and groups of staff (cars, minivans, buses) based on service needs and communicate with vendors to provide specific vehicles at designated times.
- Train & oversee Runners’ work orders, including scheduling and any other instructions or requests received work crews and supervisors for daily operations.
- Update and maintain the OBS software tools (e.g. GRPS, OBS Motorpool software, etc.).
- Perform a variety of clerical support duties as assigned such as needed.
- Able to professionally carryout all the set out tasks and responsibilities in the service agreement and other necessary tasks as needed on an adhoc/on demand basis to successfully deliver the objectives of the teams deliverables.
Skills & Experience Requirements:
- Degree in a related field or equivalent experience.
- 2-3 years in fleet transportation and/or operational event experience transport operation is ideal.
- Fluent in both English and Italian is a requirement based on the on the ground responsibilities, additional languages are advantageous.
- Experience in driving in the Host city and excellent knowledge of the surroundings (including venues locations) is a key requirement due to the position’s key responsibilities.
- Proven experience as a hands on Team Leader with outstanding organization skills, hardworking, deadline oriented and proactive.
- Experience of MS Windows OS, and related software (MS Office package).
- Familiarity with transportation management, fleet management, vehicle inventory and dispatch.

- Good interpersonal, customer service and problem-solving skills.
- Able to work under pressure and meet deadlines.
